Convert a quote into an invoice

Once a customer has approved a quote, converting it builds a new invoice from the same customer, line items and pricing, so you don't have to rebuild it from scratch.

  1. Open the quote

    Go to the Quotes tab and open the quote your customer has approved.

  2. Mark it as accepted

    Turn on the Customer Accepted switch so the quote's status reflects that the customer has signed off, if you haven't already.

  3. Open Convert to Invoice

    Tap the actions menu (the ⋮ icon, or the receipt icon in landscape) and choose Convert to Invoice.

  4. Confirm the conversion

    Confirm when asked "Are you sure you want to convert this quote to an invoice?" by tapping Convert.

  5. Review the new invoice

    Servicebay opens a new invoice pre-filled with the quote's customer, line items, pricing, deposit settings, and title. Its Message, Terms and payment advice come from your Invoice Settings defaults rather than the quote, so check them before sending. Tap Save once you're happy with it.

  6. Send the invoice

    Open the saved invoice and tap Send to email it to the customer.

  7. Tips

    Converting doesn't delete or replace the original quote. It stays in your Quotes list, and the new invoice is a separate record. If you convert by mistake, you can delete the invoice it created; see "Void an invoice" for how deleting works.
